Generate Package and Email a Request For Information

To perform the actions mentioned in this article, user need to have the appropriate roles enabled in the RFI role section.

To generate a package for a Request For Information (RFI) Report:

1. Select an open RFI.

2. Click on the “< Detail” button in the folder tree toolbar. This will open the Detail View of the selected RFI.

3. Click the “Generate Package and Email Package” button in the upper right-hand corner.

On Success, a green message will appear at the top right hand corner with message:

“RFI Notification was sent successfully”. https://infinitrac.atlassian.net/wiki/x/AYBWm

The RFI will be locked, and a package will be generated containing every information given to the RFI (Files, Comments, Description, etc.). An email will be sent to all recipients given in the recipients table.
When the recipients open the email or download the package, the recipients table will display a timestamp for each occurrence.

The generated package will also be associated with the RFI in the File Management module.

The Generated Package can be found by:

1. By opening the Files table in the RFI and clicking the link in the “File Path” column, the File Management Module will open at the corresponding location.

2. Manually navigate to the Files Management module, then go to Modules → RFI Resolution → RFI Resolution Root, and follow the path where the RFI is located.

The Generated Package will include a unique appendix (e.g., _Rev_01) if multiple packages are created for the same RFI.

The email will also be saved to the same location. If the Subject field is provided in the RFI, the email file will be saved using the given subject as its name. Otherwise, the email will be named with a unique, randomly generated identifier.

Note that generating the package and email may take longer, depending on the size of the associated files.

If the process fails, a message will appear in the top right-hand corner stating: “Error Occurred: RFI Notification was not sent”.
