17. Incoming Transmittal

Incoming Transmittal module used for filing incoming document revisions into appropriate File Library location. Newly added documents become the latest revisions.

Process of filing new incoming documents called File Dispositioning. There are two types of Dispositioning processes: Manual and Automatic.

Manual Dispositioning allows to move (disposition) incoming files, manually into respective File Library location. This process is initially required to import first document revisions(s) into a File Library.

Auto Dispositioing automatically moves new incoming documents into respective File Library location by matching dispositioning criteria, for example Vendor Drawing Number and/or Sheet. System searches a File Library for documents with the matching Vendor Drawing Number and/or Sheet values. If one document with the same matching criteria found, incoming new document revision is filed under found file. In case, there are many revisions found for the same dispositioning criteria, files cannot be dispositioned automatically and manual dispositioning required.

Among other features of Incoming Transmittal module is ability to import an Excel / CSV worksheet with new file’s meta data by using an import template. Imported file’s meta data is saved in infinitrac per each incoming document.

To report incoming documents with their respective location and meta data, Incoming Transmittal module implements an Excel report which can be generated/downloaded in Incoming Transmittal List View. Among other reporting capabilities is an Incoming Transmittal Detail report, which reports all related attributes per single Incoming Transmittal as a pdf file.

To complete incoming document processing, Status of Incoming Transmittal can be set to Closed. At which point transmittal becomes uneditable.

As with other modules, Incoming Transmittal protected by role/permission security.
